01 / The gap

The business challenge

Delivery and pickup appointments in a multi-customer distribution operation are normally coordinated by phone and email, outside the system that holds the order, payment status, and warehouse capacity.

This disconnected approach creates operational gaps: appointments can be arranged before payment is cleared, picking work may require manual coordination with the warehouse, and the customer, key account manager, sales back-office, and finance teams may work from different or outdated information about the same appointment.

Challenge

  • Appointments booked by phone/email, disconnected from the sales order and warehouse capacity.
  • No system link between payment approval and delivery scheduling.
  • Status updates and picking coordination depended on manual phone calls.

02 / The operating model

Our solution

We extended the standard Microsoft Dynamics 365 Finance and Operations sales-order and warehouse processes with a dedicated Customer Appointment Management module: a guided scheduling wizard, a full appointment action center, native payment-approval gating, and a Power Automate notification layer that keeps every stakeholder in sync automatically.

Payment-gated scheduling

A delivery date cannot be booked until the sales order's payment approval workflow has cleared.

A 3-step Delivery Schedule Wizard with a visual, slot-based calendar of real shift capacity.

Warehouse (WMS) synchronization

One-click picking schedule creation that books the picking slot and assigns a worker directly from the appointment.

Full lifecycle actions

Reschedule, replace worker, update sales order, time update and key account manager notes, all from one Appointment Action Center.

Automated notifications

Status-driven email and SMS notifications to the customer, key account manager, warehouse, sales back-office and finance.

04 / Warehouse sync

Warehouse synchronization: from booking to picking

Booking an appointment does not end at the calendar.

The Picking Schedule action reserves the picking slot and worker directly from the appointment, so the moment an appointment is scheduled, the corresponding picking work is already lined up in the warehouse.

The same Appointment Action Center covers reschedule, replace worker, confirm/reject and time update, with every change logged.

05 / Automation

Automated notifications — every team informed

A Power Automate flow reacts to every step in the appointment's life — creation, the payment-approval outcome, scheduling, in-flight changes, completion, a missed delivery, a delay, cancellation, and Ready-for-Delivery — and sends an internal notification to the key account manager, warehouse, sales back-office and finance teams. Where the event is customer-facing, a trimmed email (with a calendar invite where a date/time applies) and an SMS are also sent to the customer. A delay or cancellation is routed internally only, so a team member follows up personally rather than the customer receiving an automated message.
